Custom business systems

A system shaped around how your company actually works

I build systems that organise processes, connect data and integrate the tools your business already uses. Your team works in one place — without manual re-entry or costly workarounds.

Original products and implementations

Systems solving specific operational work.

DocBase

Company knowledge was scattered across documents, email and spreadsheets, so finding one answer meant searching several sources. DocBase organises those materials and answers questions with the exact file, page and source quote. The team reaches procedures and decisions faster, without relying on one person's memory.

When a bespoke system makes sense

Off-the-shelf tools no longer keep up with how the company works.

This is for companies with an unusual process, large data volumes or many integrations — especially when workarounds and manual work cost more than a well-designed system.

The process is unusual

The ready-made tool covers most work, but critical exceptions still live in spreadsheets, email and people's memory.

Systems do not share data

Sales, catalogue, invoicing and reports are separate, so someone moves the same information between them every day.

Scale exposes errors

With hundreds of products or orders, a small mismatch in price, status or stock quickly becomes a real cost.

The company bends around software

The team changes a proven process around SaaS limitations and waits for features on someone else's roadmap.

One system instead of more workarounds

I connect the company's key process in one coherent tool.

The scope follows the process, not a list of ready-made modules. We start where the operational return is highest.

Sales and orders

Orders, statuses, customers and documents without jumping between panels.

Catalogue and data

One source for products, prices, images and parameters with change history and quality control.

Integrations

Marketplaces, invoicing, e-receipts, payments and existing tools connected through APIs.

Automation and reports

Rules, alerts and reports that handle repetitive work and surface exceptions requiring a decision.

Migration and continuity

Data migration, roles, backups, monitoring, documentation and a plan for continued development.

How it works

From process to a system that can evolve safely.

We first organise the workflow and risks. Only then do I choose the technology and scope of the first version.

Stage 1

Process analysis

We map people, data, exceptions and current tools. We calculate manual-work cost and choose the area with the highest return.

a process map and implementation priority

Stage 2

MVP and integrations

I build the key workflow, connect essential data sources and deliver a working version for review every week.

a working core system

Stage 3

Migration, launch and growth

I migrate data, train the team and set up monitoring and backups. After launch, the system evolves around real usage.

What it costs

I will not say “it depends” and disappear.

Typical project

18-60k PLN

Net, fixed price agreed before work starts. Includes launch, data migration, team training and 30 days of fixes.

Discuss your scope

Four things decide where in that range you land. We go through them on the call and you get one number, not a range.

How many processes the app has to cover
1 or 5
Whether it plugs into systems you already run
0-3 integrations
Whether a mobile version is needed
+3-5 weeks
How much data moves over from old tools
sheets or a database

We usually start with a paid discovery for 2-4k PLN net. That is two days spent walking through your process and a document with scope, cost and timeline. If we go ahead, that amount comes off the project price.

Who is accountable

Business systems designer

Piotr Bednarek

From the first call to launch, you work directly with me.

I do not hand your project to a salesperson, project manager or a rotating team. I analyse the process, design the solution, write the code and own the launch. Decisions do not get lost between people, and you always know who is accountable for the outcome.

  • The code, data, documentation and access are yours — your company is not locked into me.
  • The scope, price and launch date go into the contract before development begins.
  • If the project does not make economic sense, I will say so before quoting it.

FAQ

Before you ask.

What does a typical project cost?

From 18k PLN net for a single process up to 60k with several processes and integrations. Fixed price in writing before we start.

You work alone, what if you get sick?

The code, documentation and access are yours from day one and live in your repository. You can hand them to anyone without my consent.

How long does it take?

Usually 6 to 12 weeks from signing. The end date is agreed before we start and written into the contract.

Do I need my own IT?

No. Hosting, backups and updates are on me. If you have an IT person, I hand over full documentation.

How much of my time will this take?

About two hours a week: reviewing the test build and answering questions. The rest is on me.

What if I change the scope midway?

I quote the change separately and wait for your yes. Nothing gets built or billed without your approval.

Do you work outside Poznań?

Yes, fully remote. Meetings over Meet, contracts and invoices in PLN or EUR.

What happens after launch?

30 days of fixes included. After that either a monthly retainer, or you maintain it yourself using the documentation.

Next step

Let's build from scratch or connect the tools you already use.

01

I need a system from scratch

An unusual process no longer fits spreadsheets or off-the-shelf software.

02

I need to connect existing tools

Data is scattered and the team keeps moving it between systems by hand.
